Connect Acuity to the Voice Agent: add your User ID and API key
If your appointments live in Acuity Scheduling, connect it to the AI Voice Agent so the agent can check your live Acuity availability and offer callers real appointment times on the call, instead of taking a message and leaving the booking for later. The setup has two halves: copy two credentials out of Acuity, then paste them into the portal and save.
Before you start
- A paid Acuity subscription — your User ID and API key are issued on your Acuity account, and this connection uses them to read your live availability.
- Admin access to that Acuity account, so you can open its integrations page.
- Your AI Voice Agent set up in the portal — if it is not yet, start with Voice Agent setup.
Step 1 — Get your User ID and API key from Acuity
- Sign in to the Acuity Admin Portal.
- Open the integrations page: secure.acuityscheduling.com/preferences.php?action=integrations
- Find your API credentials on that page: a User ID and an API key. Keep both handy for the next step — you will paste each one into its own field.
Step 2 — Enter the credentials in the portal
- In the IVR Solutions portal, open the AI Voice Agent inspector panel.
- Go to Tools → Booking Integration.
- Choose Acuity as the booking system. The Acuity fields appear: User ID, API key, and an optional Scheduling page URL (add the URL if you have one; the credentials are what connect the agent).
- Paste your User ID and API key from Step 1 into the matching fields, exactly as Acuity shows them — no extra spaces before or after.
- Click Save. The connection is not live until you save.
Once it is saved, your agent should be able to offer your Acuity appointment times to callers: it checks your live availability before answering a booking question, rather than quoting typical hours.
Step 3 — Test it
- Ask the agent in Simulated Chat, or on a test call: “What appointments do you have available this week?” It should answer with real openings from your Acuity calendar.
- Also test a service you offer, a service you do not offer, and a time that is already taken. In all three cases the agent must check live availability first, not guess.
- If the agent cannot offer times, re-check the setup in order: Booking Integration is still set to Acuity, the User ID and API key were pasted into the right fields, and you clicked Save after pasting them.
If your Acuity credentials change
If you regenerate or reset your API key in Acuity, the old key stops working and the agent loses its live access. Paste the new key into the same Booking Integration fields in the portal and click Save again — the same applies if you move to a different Acuity account and get a new User ID.
Checklist
- User ID and API key copied from the Acuity integrations page
- Booking Integration set to Acuity in Tools, in the AI Voice Agent panel
- Credentials pasted into the matching fields and saved
- Tested: the agent offers real Acuity appointment times
